Critical equipment tracking solution

PPE tracking is an integral part of hospital management, helping to ensure patient and staff safety as well as regulatory compliance.

Hospitals need a constantly updated inventory, indicating what protective equipment they have and if it is fit for purpose. In many cases, traditional paper-based systems are too inefficient, cumbersome and prone to human error for effective auditing, especially in large healthcare groups tasked with keeping track of thousands of individual items. 

That was the situation facing a leading healthcare group when they approached Cielo Costa in 2019 to digitise their Radiology PPE tracker. The scope of the challenge was considerable. The group has more than 50 hospitals and facilities and deals with more than two million patient visits every year.

However, we knew we were up to the task – developing innovative tech solutions in partnership with our clients is what we do best.

Intuitive finance solutions:

Development Partners – Using the Microsoft Power Platform – in particular Power Apps, Power Automate and SharePoint, Cielo Costa delivered the Radiology PPE Tracker in less than six months. 



Intuative Interfaces – At the touch of a button on the intuitive interface, staff can now access and add to an inventory list which covers their entire network, including details of when each item was last audited, when the next audit is due, which hospital and department it belongs to, and who is responsible for the audit. In our initial scope to the client we had also built in the ability to barcode scan the inventory from the App but this was removed from initial scope and may well be a continuous improvement we add in the future.

Efficiency through Automation – Hospitals no longer need to schedule a time-consuming review of everything at once; various staff members are responsible for auditing units of equipment as required. Automated notifications are sent to relevant staff to prompt them to complete safety checks, as well as to the executive director of each hospital and our clients national imaging led to give them the information required for strategic forward planning and budgeting.



Transparency – The overall result is a much higher level of transparency, reducing the risk of non-compliance and safety breaches.
