When an international body who regulate and train members of their industry decided they wanted a streamlined digital PO solution, they turned to Cielo Costa. Our client had already begun a major finance system upgrade when their paper and spreadsheet-based PO process became overwhelmed with data, prompting a request for an urgent, interim fix. We delivered. In just three months, we built a customised, intuitive Power App that makes managing purchase orders as simple as pushing a few buttons.
Intuitive finance solutions:
Simple interface – When a user logs in, they are greeted with an easily navigable interface that displays all of the purchase orders they have created, organised according to status – draft, approved, rejected, completed, or cancelled.
Standard Templates – To create a new PO, they choose from a list of approved suppliers and fill out a standardised template. Previously, the PO would be sent to authorised individuals for approval, which led to bottlenecks when staff were on leave or otherwise unavailable.
Group Alerts – Now, each draft is emailed to an authorised group; any member can grant approval on behalf of the group, speeding up the process considerably. When a request is approved, the system automatically generates a PDF document and emails it to the supplier.
Transparency – The end result is a transparent, semi-automated process which enables finance staff to check the details of any PO in the system quickly and easily.
Fast – Payments that used to take months are now delivered within days, the system has processed just under £25 million worth of orders.
Flexible – The beauty of Cielo Costa’s solution is that it is generic enough to be integrated into the financial framework of any organisation, from an SME to a large corporate, but also flexible enough to meet individual business needs.
