However, cloud migration can be a lot of work, especially when overcoming the limitations of legacy software. It involves complex data processes along with the risk that important files could be mismanaged or lost.
CRM data migration
Cielo Costa recently managed this delicate operation for one of our long-term clients, an international professional regulatory body that wanted to migrate its CRM system to Microsoft Dynamics 365 as part of a larger digital transformation programme.
The biggest challenge was the sheer scale of the project. There were around 1.8 million records that needed to be moved from old Dynamics software – or a whopping 1.5 terabytes of data, the equivalent of the contents of around 2,000 filing cabinets. This data mountain had to be moved to the cloud as smoothly and seamlessly as possible, with minimal disruption to business as usual. The end system needed to simultaneously enable easy searching and sharing of files while maintaining a high level of multi-level-access security.
We started with comprehensive data analysis, using the data visualisation tool Power BI to provide our client with the knowledge they needed to make informed decisions about what content to migrate and what to archive.
The second step was a pilot migration of a small number of files to determine what worked well and what did not. Once we had fine-tuned the process, we went ahead with a full migration to Dynamics 365 utilising the top-range tools ShareGate Desktop, PowerShell, and SharePoint Online.
A 99.99% success rate
Our end result: a 99.99% successful data migration with zero technical errors, a major victory considering we had been tasked with shifting almost two million documents. The scale of the success only really sank in during the following months. There was radio silence from our client’s employees – nobody ringing in a panic because they could not retrieve a file – and that’s when we knew it was a job well done.
